Important Security Update: Email Verification Required to Ensure Receipt of New Authorization Code
As part of our ongoing commitment to protecting provider information, NCTracks is implementing enhancements to improve the security of provider authorization codes.
Currently, when a Provider Welcome Letter is generated, it is delivered to the NCTracks Provider Portal Provider Message Center Inbox, where it may be viewed by users associated with the provider's NPI. Because the Authorization Code can be used to establish or change the controlling Office Administrator (OA) for a provider record, NCTracks is updating the process to better protect this sensitive information.
Effective Sept. 11, 2026:
- A new Authorization Code will be issued to all actively enrolled Medicaid providers.
- Authorization Codes will be delivered by email to the appropriate recipient(s) only: the Office Administrator (OA), Backup Office Administrator (BOA), and the Provider (for individual providers).
- All future Provider Welcome Letters will also be delivered by email instead of being made available through the NCTracks Message Center.
Action Required
To ensure you receive your new Authorization Code and future Welcome Letters, please verify that the email addresses on file in NCTracks are current and accurate for the following contacts:
- Provider (for individual providers)
- Office Administrator (OA)
- Backup Office Administrator (BOA)
If any email address needs to be updated, please submit a Manage Change Request (MCR) before Sept. 11, 2026.
