Importance of Updating Provider Record Correspondence Address: Returned Mail and Provider Suspension

It is crucial for providers to keep their records updated with the correct mailing address for written correspondence. If it is not current, problems may arise, including potential suspension of the provider record. All providers are advised to check their records now and update their correspondence address if it is inaccurate.

When a provider is sent a notification to their written correspondence address and the mail does not reach the intended provider because the address is undeliverable, the provider’s DHHS health plans may be suspended.

When the address is undeliverable, the provider receives a suspension letter in the provider’s message center inbox regarding the details and effective date of the suspension. The provider has 30 days from the date of this letter to update their correspondence address by submitting a Manage Change Request (MCR) in the secure NCTracks provider portal. Once the address is updated, the suspension of the DHHS health plans will be lifted.

If the address is not updated within 30 days after the suspension notice, the provider’s DHHS health plans may be terminated. A re-enrollment application will be required if all health plans on the provider record are terminated due to an undeliverable address.

If the provider’s health plans are impacted due to an undeliverable address, one of the following Action Reason Codes (ARCs) will display in Provider Search under the Health Plan Selection tab:

• Action Reason Code 25 – SUSBADADDR (PROVIDER IS SUSPENDED FOR UNDELIVERABLE ADDRESS)

• Action Reason Code 44 – TRMBADADDR (PROVIDER IS TERMINATED FOR UNDELIVERABLE ADDRESS)
